You may not return the motorcycle at a time when we are closed, unless you have made advance arrangements to deposit your keys in an official and secure key drop box. What should I do if I have problems with my motorcycle? Do you offer roadside assistance?
Before you start driving, take a few moments to familiarize yourself with the motorcycle’s equipment, operation, and gas tank access. Getting distracted trying to figure out those things while riding can be dangerous. Don’t wait until the fuel warning light goes on to think about buying gas, especially if you don’t know how far it is between gas stations. If, in the unlikely event that an emergency light illuminates on your control panel, don’t ignore it. Use good judgment about whether you can get back to our location safely and don’t hesitate to call our roadside assistance in the country you are renting.

If, in the unlikely event that your motorcycle malfunctions on a major failure, turn on the hazard lights and, if you have a cell phone, call to the location where the motorcycle was rented, call the rental location directly. Don’t leave your motorcycle. Wait in the motorcycle for service or the staff to arrive. Accepting help from strangers, no matter how well intended, is not a good idea unless you can’t call for help and they can.

If you happen to lose your keys, or run out of gas, you may be apply for a service charge depending on the nature of the incident. You also are responsible for any and all loss of or damage to the rental motorcycle resulting from causes including but not limited to collision, rollover, vandalism, theft, seizure, flood, fire, hail or other acts of nature.

Please call the rental location directly. If you run out of fuel, you will be responsible for the delivery of fuel to your location as well as the cost of the fuel.

  • mailing address and/or cellphone number where you want receipt to be sent
  • dates of rental
  • pick-up and return locations of rental
  • either credit card number used to secure reservation, the rental agreement number, or the reservation confirmation number.

While we can’t promise the return of lost items, we’ll do our best to help you.
How will I know if I’m the victim of a fraudulent direct mail offer?
It has come to our attention that fraudulent direct mail marketing offers are being circulated to the public using the Iron Horse Motorcycles logo without our permission. Some of these mailings also include the logos of various airlines. All are intended to mislead the recipient to believe that there is some connection between the sender and Iron Horse motorcycles. Be assured, Iron Horse Motorcycles is not affiliated with any of the senders of these promotions, or does it endorse or sponsor these offers. In such cases, the use of our logo and trademark is without our permission and in violation of our trademark rights. Our Legal Department continues to address this important matter.
What should I do if I’m involved in an accident?
First, call and wait for contact to the police to complete an accident report, then immediately contact the rental location. You also will need to promptly advise the Iron Horse Motorcycles location from which the motorcycle was rented. You can find location phone information on your reservation confirmation or on the front or back of your rental agreement.
Does ironhorserentals.com have the best Iron Horse Motorcycles rates?
Our lowest affiliated rates, always available on ironhorserentals.com, won’t be beaten. And we back this up with our lowest rate promise. Iron Horse Motorcycles also offers several discounts through this ironhorserentals.com site. Visit our ironhorserentals.com deals pages to see what’s currently available and while you’re there, go for our exclusive, money-saving Hot Deals mailing. Motorcycle Rental pricing is like airline pricing if you travel at off-peak times or make a reservation seven or more days in advance, you often can get a better deals. If you have an upgrade certificate, note that upgrades are subject to availability at the time of rental. You should reserve the smaller vehicle online, and then upgrade at the counter if available. Check the terms of your upgrade to see which motorcycle classes are included.

Why are you quoting me a higher rental rate than the last time I checked prices for the same reservation on ironhorserentals.com?
Motorcycle Rental pricing is a lot like airfare pricing our prices change depending on motorcycle availability, location popularity, and many other factors. We adjust our pricing on a minute-by-minute basis to remain competitive in the marketplace.

Unless it’s an advertised special offer, there generally isn’t one set rate for a particular kind of motorcycle, but rather a range of prices depending on the length and dates of your reservation.

Even with special offers, the advertised rate usually applies to a limited supply of motorcycles because we have only so many makes and models at each location. When you see a great rate for the motorcycle you want RESERVE IT IMMEDIATELY because it may not be available later!

I responded to an advertised offer but the motorcycle wasn’t available. So, why did you offer the special rate?

Every location has a limited inventory of each type of motorcycle. Some motorcycles and locations are more popular than others and they sell out quickly especially when there are low rates on a busy rental date. Try another pick-up time if your travel dates are flexible. Then when you see the motorcycle you want at a great rate, your best bet is to reserve it immediately before someone else does.
How is my rental rate calculated?
Your total rental rate is calculated based on the information provided at time of reservation. Quoted total rate will include any options you select during the reservation process. Our helpful counter agents will review all charges with you to ensure that your total charges meet with your approval when you pick up your motorcycle.
    >Does the cost of the rental include the fuel?
Iron Horse Motocycle’s rates does not include the cost of fuel. You have three options:
  • 1. Pay in advance for a full tank of fuel and bring the motorcycle back empty. Our rates for this Fuel Service Option are comparable to the current local retail pump price. If you select this option, you should bring the motorcycle back as close to empty as possible, because no credit will be given for unused fuel; or
  • 2. If you aren’t sure how far you’ll be driving, but plan to stop for gas, don’t accept the Fuel Service Option. Simply bring the motorcycle back full, and you’ll avoid any refueling service charge; or
  • 3. If you don’t choose the Fuel Service Option and you bring the motorcycle back less than full, you’ll pay a fuel service charge. If you drive 75 miles or more, depending on whether or not you bought fuel during your rental, this charge will be a per-liter rate and will be stated on your rental agreement.
  • Why do you charge so much to refuel the motorcycle?
Unless a customer has chosen the Fuel Service Option, which is competitive with local gas prices, we prefer that renters stop at a local station and refuel the motorcycle before returning it. If the customer chooses not to do so, we charge a premium for providing this refueling service to them. That charge takes into account both direct and indirect costs of having to refuel and maintain our refueling infrastructure for customers who prefer this service. The charge also is intended to strongly motivate customers to save by refueling the motorcycle themselves.
    Will any other fees apply?
For Iron Horse Motorcycles and all other rental motorcycle companies at many airport locations, concession recovery and facility fees may be charged. A vehicle licensing cost recovery fee may be charged as well. Please check for all fees that apply to your rental in the rates section during your reservation process. Of course, other products or additional equipment that you add at the rental counter will be extra. But on ironhorserentals.com, all additional charges that are known in advance of the rental are quoted as part of your total online rate so you’ll have no surprises when you get to the rental counter. And, if any of those additional charges go up between the time you reserve and rent your motorcycle, just submit our rate promise form and we’ll reimburse you for any additional fees that you were charged over your reserved rate. Any charges that can’t be determined until after your rental, including mileage and fuel charges, will be extra and are not covered by the guarantee.
Why am I being billed for fees and surcharges?
Most fees and surcharges are mandated for all rental motorcycle companies by the local municipality or state/federal authorities. However, unlike Iron Horse Motorcycles, some rental motorcycle companies do not disclose these surcharges when you reserve your motorcycle. We prefer that you are aware of all charges ahead of time so when you pick up your motorcycle, you’ll have no surprises. If you have questions regarding any surcharges relating to your rental, please discuss the charges with a counter representative.

Taxes, fees and other charges always vary by location. A breakdown of all fees and surcharges is listed in step 4 of the online reservation process.

How can I get the very best Motorcycle Rental deals?
You’ve come to the right place ironhorserentals.com. Start by searching here. The more flexibility you have in your rental dates, the more you can save. Taking advantage of low Motorcycle Rental rates is a lot like finding low airfares. Your price depends on when you travel and for how long. When you find a great rate, book it fast before someone else does. The best rental motorcycle rates are usually offered on weekends, especially when you stay over on a Saturday night and the longer you keep your motorcycle, the better daily rate you can usually get.
Can I save money by pre-paying my rental?
Now, more than ever, travelers are looking to save on their Motorcycle Rental expenses. Online is the easy way to reserve and pay. However, if you prefer, reserve on ironhorserentals.com and pay in full when you return your rental.
Is it cheaper to rent on a certain day of the week or time of the month?
Rental motorcycle companies realize a significant portion of their volume during Monday-through- Friday business travel. So, generally speaking, leisure travelers can find better rates on weekends when the demand for some motorcycle types isn’t as high. Also, the longer you keep the motorcycle, the better per-day price you’ll get. Time of month really doesn’t matter, but demand increases during holiday periods, so always reserve early.
Can you reserve a specific make/model motorcycle for me?
Yes! Book your choice of any of our motorcycles, and we’ll do our best to have that exact type waiting for you at the pick-up counter. And once you’re behind the wheel of your favorite rental motorcycle, if you decide to keep your vehicle for a few more days, that’s no problem at all.

Since Iron Horse Motorcycles offers each customer this same flexibility, please understand that we can’t guarantee that the specific make or model you choose will always be available, some of our renters undoubtedly will decide to keep their favorite motorcycle longer than they originally planned which may overlap your rental request. But if we have the motorcycle of your choice at the location when you arrive, you’ll get it!

Do any special terms or conditions apply to my rental?
Sometimes. For example, in some particularly rugged parts of the country, and on specific gravel and dirt roads not regularly maintained, Iron Horse Motorcycles prohibits use of its vehicles (unless Off Road).

At most locations, interstate travel is permissible, while other locations require that the vehicle does not cross state lines. Similarly, in some states bordering, and travel across the Country borders might be restricted or prohibited.

Or, if you are under 24 years of age, special motorcycle type rules and surcharges will apply. Be sure to read the helpful terms and conditions that appear on the online confirmation page when you make your online reservation or on your confirmation e-mail. And when you pick up your motorcycle, the rental counter agent can answer any additional questions.
May I review my Rental Agreement in advance?
A Rental Agreement is the legally binding contract that details the terms of rental you’ll be required to agree to and sign when Iron Horse Motorcycles releases a rental motorcycle to you.

Since most locations in differents countries have different clauses and specific conditions terms, you must verify this info directly at the rental counter.

How can I view my reservation on ironhorserentals.com?
To view your reservation, you must have a confirmation number. This number is provided to you at the completion of your reservation. The confirmation number is an alphanumeric code . If you don’t have that information readily accessible, simply contact us.
How do I change my existing reservation?
You can view and modify your reservation on ironhorserentals.com as long as you have the confirmation number for the reservation. The confirmation number is an alphanumeric code. When I try to change my rental to another date, ironhorserentals.com won’t always let me keep the motorcycle at the same rate. Why?
Motorcycle Rental rates change much as hotels/airlines prices do. We promise that the rate you reserve is the rate you’ll pay, but we can’t promise that the rate you reserve today will apply if you lengthen or shorten your rental period. Also, if you revise your rental period, you might not realize that you’re actually changing your daily vs. weekend vs. weekly rate schedule. Generally speaking, the longer the rental period, the lower your per-day rate.
    May I change a pre-paid reservation?
With Iron Horse Motorcycles, you can change most things on your pre-paid reservation on ironhorserentals.com or at the counter at any time, even multiple times, with no fee! If changes affect the total rate of the rental, the prepayment amount will not change. Underpayments will be handled at the counter at time of rental return, and any overpayments will be refunded after the rental agreement is closed. If the change is to the rental location and the new location doesn’t accept pre-paid reservations, the pre-paid reservation will be canceled and rebooked at prevailing rates. In this instance, you will be charged a $10 cancellation fee. Read more about changing your prepaid reservation.
    What is your cancellation policy?
You may cancel a non-prepaid reservation at any time, usually without penalty, if you make a reservation without a credit card, we appreciate 48 hours notice of a cancellation, but will not assess a fee if you cancel after that point. You will incur a $10 fee if you choose to cancel your pre-paid reservation before the rental and $50 after your scheduled rental time.
How do I cancel my existing reservation?
You can cancel your reservation online or you call to our call center number with your last name and confirmation number for the reservation. The confirmation number is an alphanumeric code. If you don’t have that information readily accessible, simply contact us. Please be sure of this number and contact us, to get personalized assistance.
If I book a motorcycle through a travel agent or an online booking service, can I change or cancel it on ironhorserentals.com?
Unfortunately, usually the travel agency or online booking agent “owns” the file you originally opened, so it would be impossible for ironhorserentals.com to access and amend that reservation. Your best option would be to ask the original entity that booked your Motorcycle Rental to revise or cancel your reservation. Then, if you wish to book a brand new reservation on ironhorserentals.com, we would be happy to assist you.
    Do late-return fees apply?
Motorcycles are rented on a daily (24-hour) basis. There is a 59-minute grace period for returns. After 60 minutes late, hourly motorcycle rate charges and taxes may apply. After 180 minutes late, full-day late charges and taxes may apply. There is no grace period for rental fees, surcharges and optional equipment or protections charges. Full-day late charges will apply for these items.
    Can I rent additional accessories?
Depending upon your rental location, there are many options and accessories available to help make your trip safer and more enjoyable. While Iron Horse Motorcycles makes every effort to honor your request for options and accessories, within 24 hours prior to pick up, we cannot guarantee that all other additional accessories will be available at the time of rental.
Can you confirm availability of additional accessories?
Yes. Are guaranteed if a confirmed reservation is made 24-hours in advance by calling the location directly. For all other additional accessories, while Iron Horse Motorcycles makes every effort to honor your requests, we cannot guarantee them at the time of rental.
What insurance do you offer while I’m renting?
Purchasing any one of our coverages provides you with the added peace of mind and assurance that you are protected against any damage or theft to your rental motorcycle. Below is a brief description of the types of coverages that you’ll be offered when you reserve online or pick up your motorcycle. Here also is a summary of the optional insurance plans available for an additional daily charge at most Iron Horse Motorcycles:

These plans are provided by independent insurance companies, and are subject to the provisions, limitations and exclusions contained in the actual policies, which are available for review upon request. Other rental companies may offer similar coverages under different names and at varying limits and costs. As with any optional insurance or protection plan, smart renters will want to do some research before purchasing these options. Iron Horse Motorcycles offers several types of optional insurance plans to protect you during the rental period:

  • – Supplemental Liability Insurance (SLI) is excess motorcycle liability insurance that protects you and all authorized motorcyclists of the rental motorcycle against third-party bodily injury and property-damage claims for which you are legally liable. At most locations, when SLI is purchased, liability protection provided by Iron Horse Motorcycles and the SLI becomes primary, and applies before other liability protection available to you. This means that you probably won’t have to call upon your other protection unless the loss exceeds the SLI limit or results from your use of the motorcycle in violation of the terms of the rental agreement. By not having to file a claim under your own policy, you can probably avoid possible premium increases or even cancellation. Another benefit is that SLI provides a high limit of liability protection that might not otherwise be available to the renter. By accepting SLI, the limit of liability protection available to the renter or authorized rider the amount it varies the limit depending on the location. This coverage is available only at the rental counter, and the per-day cost will vary by country. The daily price will be printed on rental documents.
  • – Personal Accident Insurance (PAI) protects you and your passengers against accident, injury, and loss to certain personal property being transported in your Iron Horse motorcycle. PAI provides renters and passenger of the rental motorcycle with accidental death benefit and coverage for certain medical expenses resulting from an accident. Renters are protected on the rental motorcycle during the entire rental period, and passenger is covered while on the motorcycle. In addition, PAI provides protection against loss of, or damage to, certain personal property of the rider and individual traveling with the renter.
  • – Collision Damage Waiver (CDW) offered by Motorcycle Rental companies is not insurance. It’s an option that relieves renters of financial responsibility if the motorcycle is damaged or stolen while under rental contract. Using the motorcycle in violation of any of the use restrictions listed on the rental agreement could void CDW and leave the renter fully responsible for any damage to the motorcycle. If you decline CDW, you may be responsible for up to the full fair market value of the motorcycle if it is damaged, vandalized or stolen during the rental. You also may be responsible for reimbursing the Motorcycle Rental company for any revenue lost during the period that the company is unable to use the motorcycle while it is being repaired, or in the event that the motorcycle is not recovered due to theft (loss of use). CDW guidelines can vary by country, so please ask your counter representative for details.
  • – Deductible Reduction Protection (CRD). When Deductible Reduction Protection is accepted as a complement of the CDW the amount of “responsibility” (also known as deductible) is reduced to 50%.
  • – Zero Deductible Protection (EPC). When Zero Deductible Protection is accepted as a complement of the CDW the amount of “responsibility” (also known as deductible) is voided It means that the customers responsibility for damages to the motorcycle reduces to “zero” if this agreement is not violated in any sense. (verify the attached ademdum at the counter for excemptions). You acknowledge that the Zero deductible provides its benefits on loss or damages results of a collision or robbery, then partial theft is not covered. You’ll pay for Zero Deductible Protection if you accept it. You understand that you’ll be charged the rate per day for a full day even if you don’t have the motorcycle the entire day.
  • Some credit cards companies offer protection if you present their card at the time of rental, and if you use the same card to pay for your rental at the time of return. Renters should closely examine the terms of this coverage because the protection is often supplemental, and certain limitations or restrictions may apply. Specific information on availability of optional CDW and the cost can be obtained when making a reservation. Iron Horse Motorcycles recommends that you decide whether or not you need CDW before you pick up your motorcycle.

What are the benefits of purchasing coverages?
The benefits of the coverages vary by location. If you have questions about a specific coverage, please check with the renting location. You may select the coverages available at a particular rental location during your online reservation process. Please keep in mind that you always have the opportunity to change your coverage selections at the counter when you pick up your motorcycle.
Are your optional protections really necessary?
Iron Horse Motorcycles offers various types of optional protections such as Collision Damage Waiver (CDW), which is not insurance, to protect against damage to your motorcycle and Personal Accident Insurance (PAI), to protect you if your injured and your possessions in the event of loss. As always we encourage you to speak to your insurance agent or insurer to make sure you have coverage and that you are fully protected. That will help minimize your time at the rental counter, and help give you peace of mind that you are making the right optional protection choices.
Am I required to take the insurance?
No, it is optional, but you are responsible for the motorcycle in the event of damage. You should check with your respective insurance company to see if you have ample coverage while renting a motorcycle. In the event you do not have proper coverage, Iron Horse Motorcycles sells a variety of protection coverages for your rental.
Does my own insurance protect me in the event of an accident?
Given the vast number of insurers and policies, it is extremely difficult for us to know which entitlements accompany your given policy. We strongly recommend that you contact your insurance company to verify your coverages before renting a motorcycle. In the event you do not have proper protection, Iron Horse Motorcycles sells a variety of protection coverages for your rental.
Should I purchase coverage for my motorcycle from a travel package Web site?
Many companies that sell online travel packages (airline, car rentals, motorcycle rentals and hotels) offer insurance protections that claim to cover rental motorcycles. Before purchasing, always check your personal insurance first to see if you’re covered for damage to a rental motorcycle, and whether your policy completely protects you. If you have rental motorcycle coverage through your personal insurance or charge card, you might not need the coverage that online travel package companies offer you. In any event – your personal insurance or some of those packages might not protect you entirely for any loss or damage to the rental motorcycle. Remember – if the insurance doesn’t cover your loss, you will remain personally responsible for any difference!

To be on the safe side, consider the optional Collision Damage Waiver (CDW) because it reduces your financial liability for loss or damage to the rental motorcycle for as long as you rent the vehicle under the terms of the Iron Horse Motorcycles rental agreement. Cost of CDW varies by location, but it’s a reasonably-priced plan with a low daily rate. With CDW, you’ll be protected no matter what – and in the unlikely event of an accident, you won’t have to pay legal support or become involved with your personal insurance card.

Is a credit card needed to hold my reservation?
At most locations, no. However, some Iron Horse Motorcycles locations require a credit card to secure reservations either for a specific make/model vehicle (usually for high-demand motorcycles or in instances where only one vehicle is available within a popular make/model), or for every motorcycle at that location. At these locations, you may cancel up to 48 hours in advance of your designated pick-up time without penalty. If you cancel less than 48 hours before your pick-up time, a $75.00 US fee will be assessed.
Do you require a deposit to rent a motorcycle?
Yes. Your deposit type, amount and method of payment will vary by location.
    Credit and Debit card Rules
Generally, at the time of rental, we’ll require a credit card hold of total estimated charges, plus 25% or $500.00 USD, whichever is greater. If you’re using a debit card at a location that accepts them, we’ll require a hold of total estimated charges plus 25% or $300.00 USD, whichever is greater. However, for insurance/service replacement rentals and tour rentals, the minimum debit card authorization hold is $100. Look at the terms and conditions on your reservation confirmations for the deposit required at your specific rental location. Some select locations do not accept debit card at time of rental to release the motorcycle, but do accept debit card for payment at time of motorcycle return. Search for your location to find deposit rules. After you find your location, just click the ‘additional information’ link next to your desired location to view location terms and conditions.

It’s perfectly fine if you choose not to return the motorcycle on or before your scheduled return date, but you must contact the rental location, and will be happy to accommodate your request, if possible. In this case, we will assess a $10.00 USD service fee for the extended rental, and place up to three additional holds on your card (depending on how long you keep the motorcycle) to cover expected rental charges. Upon your return of the motorcycle, all holds will be released, and the actual cost of the rental will be charged. Please note that, if you choose to extend your rental, your original rental rate may no longer be available. Also note that your bank may take up to two weeks to post the released credit hold to your card. Unfortunately, we cannot be held responsible for any returned checks due to debit card hold processing.

    May I prepay my rental?
Absolutely. You can save on your Motorcycle Rental expenses at most locations when you reserve and prepay toward your rental online at ironhorserentals.com with a credit or debit card. Online is the easy way to reserve and pay. Learn more about our Pay Now option. Or, if you prefer, reserve on ironhorserentals.com and pay in full when you return your motorcycle.
    Can I pay with cash?
Yes. Your payment type, amount and method of payment will vary by location.
Which credit and debit cards do you accept?
At some locations, debit and pre-paid charges are not accepted at time of rental but are accepted for payment at time of motorcycle return. Most locations accept the following major credit cards, please note that acceptance of these credit cards may vary at some locations: American Express, Discover, Mastercard, Visa, Cash, Prepayments.
Will my credit/debit card be charged when I make the reservation?
No, unless you choose to prepay for your rental at time of reservation. Regardless of whether or not you prepay, your card will have a hold placed on it at the time of pickup. Please check the terms and conditions on your reservation confirmation for the dollar amount required at your desired location. And while it’s perfectly fine if you choose not to return the motorcycle on or before your scheduled return date (see “May I extend my rental beyond the original return date?”), we’ll place up to three additional holds on your credit card (depending on how long you keep the motorcycle) to cover expected rental charges. Upon your return of the motorcycle, all holds will be released, and the actual cost of the rental will be charged. Please note that your bank may take up to two weeks to post the released credit hold to your card. Unfortunately, we cannot be held responsible for any returned checks due to credit hold processing. Important related information may also be found under the question “What kinds of credentials do I need?”.
If I use a non-U.S. credit card, how will my currency be calculated?
If you use a credit or charge card issued by a financial institution outside the rental Country, and if your charges are billed to Iron Horse Motorcycles in a currency other than current Country currency, the full amount of your charge will be converted to the card account’s billing currency unless you submit a written request in advance to have the currency conversion performed by your card issuer. The conversion will be based on a conversion rate published by official Country bank and will incorporate a processing charge no higher than 3% for all amounts relating to the transaction. This charge will replace the currency conversion processing charge applied by your card issuer. Although your card issuer has a currency conversion process; you have the option of choosing not to use your card issuer’s currency conversion process. In this case, you will have no recourse against your card issuer for any matter related to the currency conversion.
Can I use another person’s credit card with their permission?
No. At the time of rental, the renter is required to present a valid rider’s license and credit card with his/her name imprinted on it. The name/address on the credit/debit card MUST match the name/address on the rider’s license.
